What belongs on an invoice?
An invoice is a clear record of who supplied what, who must pay, how much is due and where the money should go. It does not need a dramatic logo. It needs unambiguous details.
The useful fields
- Your details: the name you trade under, contact details and address where appropriate.
- Customer details: the name and address of the person or business responsible for paying, plus their VAT number when it applies.
- Invoice number: a unique reference such as INV-001. A simple sequence makes invoices easier to find.
- Invoice date and payment terms: say when it was issued and, in a line item or note, when payment is due.
- Line items: describe the work, quantity or hours, rate and line total plainly enough that the customer recognises it.
- Subtotal, VAT and total: show the arithmetic and only include VAT when it applies to you.
- Banking details: check the account name and number carefully before sending the PDF.
A small worked example
Three hours of design work at R650 an hour gives a subtotal of R1 950. If VAT does not apply, the invoice total is R1 950. If the supplier is VAT-registered and the standard 15% rate applies, VAT is R292.50 and the total is R2 242.50.
VAT is not automatic
Doing freelance work does not automatically make you a VAT vendor. Only add VAT when you are registered or required to account for it. Registration depends on your taxable supplies and circumstances, and zero-rated, exempt and special cases exist.
The generator starts with VAT switched off for that reason. If VAT applies, use Add 15% VAT, add the correct VAT details and confirm that the rate and invoice wording are right for your situation.
Before you send it
Read the customer name, invoice number, dates, every line total and the bank account aloud. The glamorous parts of invoicing are optional. The account number is not.
What stays on your device
The totals and PDF are produced in your browser. The invoice fields and banking details are not submitted to a My Money Matters server. If you add a logo, the image is read locally for this session. Save the PDF somewhere you control because this tool is not an invoice archive.
